Terms and Conditions East Midlands
This document covers events delivered under the name of East Midlands Skills Development Network (EMSDN) and Midlands Digital Health Skills Development Network (DHSDN).
If you are unsure which terms and conditions apply to an event booking, please check the following places before contacting us:
Our events are provided free of charge at the point of delivery (unless otherwise stated), with costs being met from membership subscriptions levies.
Places will be allocated on a first come first served basis, with consideration made to fairness across membership subscription sizes. If an event is heavily oversubscribed, places per organisation may be limited.
EMSDN events are open to NHS Finance and/or Procurement* staff in the East Midlands from EMSDN levy paying organisations only. *except for those events to which non-Finance staff have also been specifically invited.
DHSDN events are open to Digital Health staff in the Midlands from DHSDN levy paying organisations only. *except for those events to which non-Digital Health staff have also been specifically invited
Am I Digital Health?
Digital Health in the Midlands is anyone who:
- works in digital, data, technology and informatics
OR
- uses digital, data, technology and informatics to improve health outcomes.
This includes managers, leaders, support staff, digital clinicians (nurses, midwives, AHPs, pharmacists, doctors, psychologists etc).
By booking on an event you are agreeing to the following:
- Receiving an e-mail message confirming your booking status
- Receiving a calendar invite for the event.
- You should email SDN@nottshc.nhs.uk as soon as possible if you are no longer able to attend an event you have booked.
- Cancellation policy: You agree to the cancellation policy outlined in these terms and conditions.
- Full joining instructions will be sent to you approximately 2 weeks prior to the event. Please contact SDN@nottshc.nhs.uk if these are not received.
- Signing the ‘Attendance Register’ on arrival as proof of attendance (if applicable).
- Your name, job title, organisation and function will be published on a ‘Delegate List’ which is available to other delegates, speakers, presenters and exhibitors (if present).
- Your name, job title, organisation and email address will be published on the SDN app which is available to other delegates, speakers, presenters and exhibitors (if present).
- Your details of booking will remain visible on our system in line with our privacy policy and this information is available to your local Skills Development Team and the nominated Lead in your organisation.
- Your name, job title, organisation and email address maybe shared with a third-party provider where they are providing the administration for a particular event.
- Your personal details will be stored on a secure N3 server hosted by Nottinghamshire Healthcare NHS Foundation Trust for no longer than 18 months.
- Skills Development reserves the right to alter timings, sessions, speakers or venue where necessary, or postpone or cancel the event if unavoidable.
- Skills Development may on occasion take photographs at events and publish them on the Skills Development social media pages.

1. Cancellation Policy: Midlands Digital Health Skills Development Network (DHSDN)
- All cancellations and substitutions should be made as soon as possible by email to SDN@nottshc.nhs.uk
- Cancellations can be made up to 7 days prior to the event date without penalty.
- Substitutions will be accepted without charge at any time, including on the day of the event.
- For substitutions, the original booked delegate is responsible for forwarding appropriate information to the substitute (e.g. place confirmation, joining instructions, pre-work, virtual platform links etc)
- Cancellations received within 7 days of the event and non-attendances without cancellation will incur a cancellation charge of £200.
- Part attendance of an event will be classed as non-attendance and cancellation charge will apply.
- The £200 cancellation charge is a flat rate for all events (unless otherwise stated) independent of the event duration.
- Extenuating circumstances for late cancellations/non-attendances may be considered within 2 weeks of the event.
If you believe there are appropriate extenuating circumstances to your late cancellation/non-attendance, please contact us by email to SDN@nottshc.nhs.uk within 2 weeks of the event.
- Any failure to attend events will be reported back to the delegate’s sponsoring organisation.
- Cancellation charges will be invoiced to the sponsoring organisation at the start of the next financial quarter (e.g. April, July, October, January).
2. Cancellation Policy: East Midlands Skills Development Network (EMSDN)
- All cancellations and substitutions should be made as soon as possible by email to SDN@nottshc.nhs.uk
- Cancellations can be made up to 16.00 / 4pm on the working day before the event date without penalty.
- Cancellations received after 16.00 / 4pm the working day before the event will constitute a non-attendance.
- Part attendance of an event will be classed as non-attendance.
- Substitutions will be accepted without penalty at any time, including on the day of the event.
- For substitutions, the original booked delegate is responsible for forwarding appropriate information to the substitute (e.g. place confirmation, joining instructions, pre-work, virtual platform links etc)
- Any failure to attend events will be reported back to the Director of Finance/Head of Procurement and FSD/PSD Lead at the delegate’s sponsoring organisation.
- Failure to attend 3 events will result in access to offers being removed for that individual and the Director of Finance/Head of Procurement and FSD/PSD Lead of the sponsoring organisation being notified of the action.
- Extenuating circumstances for late cancellations/non-attendances may be considered within 2 weeks of the event.
If you believe there are appropriate extenuating circumstances to your late cancellation/non-attendance, please contact us by email to SDN@nottshc.nhs.uk within 2 weeks of the event.
